Working with the project management system synopsis.

provides opportunity to create your company portal on the Internet or LAN.

The basic elements and options of the portal:

  1. Storage of and work with documents.
  2. System of electronic document circulation.
  3. Project Management System.
  4. Forums and opinion polls.
  5. Announcements.
  6. Event calendars.
  7. Event notifications.
  8. The company team/staff.
  9. Directories of company contacts.

Working on the portal includes:

1. User registration.

2. Creation of the user's profile (filling in the necessary information about the user, the user's photo, e-mail, phone, company position and area(s) of expertise/professional interest).

3. Allocating access to specific resources of the portal to individual users according to the role policy (roles are assigned to users by the portal administrator).

4. Exchange of messages within the portal between the company staff (the opportunity to exchange text messages and links to particular documents, as well as the opportunity to attach files from the portal and local resources);

5. Exchange of posts simultaneously in several chats on individual subjects;

6. Keeping a user's blog;

7. Integration of personal and corporate e-mails:

  • Opportunity of sending e-mail messages from the portal;
  • Connection of several domain names;
  • Sorting messages according to specific projects/sites;
  • Storage and numbering of messages in the company register.

8.   Receiving up-to-date information on the company activities through:

  • Announcements within the portal (posting announcements on the general activity of the company, impending actions, innovations and changes within the company, etc);

  • Notifications within the portal (about messages, announcements, invitations to take part in projects, etc);
  • Monitoring user activity on the portal (tracking users activity on the portal, possibility to trace activity of separate users individually, as well as to monitor changes made to individual files, etc).

9. Searching throughout the entire portal and its individual sections (messages, forums, announcements, sites, projects and files).

10. Keeping a personal calendar and a calendar of individual projects;

11. Getting instant information on several portal pages:

  • User's Personal Profile;
  • Company's main site;
  • Site of the department in which the user works;
  • Site of the project on which the user works;
  • Site of the community of which the user is a member.

12. Handling an individual project within the project management system which allows:

  • To create/remove a project/site of the project/subproject;
  • To define the project's timeframe and deadline;
  • To define percentage of the project's completion;
  • To appoint a department responsible for the project;
  • To appoint a person responsible for the project (the project administrator).

13. Monitoring project implementation within the project management system:

  • Monitoring timeframes for projects and tasks;
  • Building a general tree-graph of projects and tasks;
  • Search engine for the tree-graph of projects/subprojects (search by project name, project deadline, department, project administrator, project participants);

  • Blocking access to a file for a user, in case of the file being edited/changed by another user (locking/unlocking files);
  • Support of file versioning;
  • Preview of the basic file formats;
  • Information on the basic metadata and the file size;
  • Exporting files to other formats;
  • Creating file comments;
  • Getting a url file address (for obtaining a file link);
  • Possibility to connect external repositories.

17. Performing operations with the portal file system from a local computer by means of a special tool called the synchronizer.

The synchronizer application enables the user to perform operations with the portal file system from a local computer.

The synchronizer is installed by clicking the corresponding link. These are the basic operations performed by the synchronizer:

  • Copying/deleting files into/inside the portal;
  • Creating folders in the portal;
  • Reading and editing individual files (including versioning and lock/unlock functions);
  • Receiving information on file/folder sizes;
  • Receiving information on operations with files;
  • Entering the portal through the synchronizer;
  • Information on notifications within the portal;
  • Creation and reading of notifications within the portal;
  • Opportunity of reading news feeds.
